How to Add a File to a Cabinet File

An effective filing system makes an office appear organized and efficient. Experienced users may consider the filing process straightforward, but the operation can be confusing to those who are unfamiliar with it. Filing systems range from the simple to the complex, and offices select a filing method that is best for their particular business. Determining the filing system in use is the first step toward learning how to file a folder.

      Examine the categories in the cabinet to determine the filing order being used. Common filing systems are alphabetical, numerical and chronological. Files could also be arranged by subject matter or geography.

      Compare the label on the folder to the labels on the cabinet drawers to determine where your file should be. For instance, in an alphabetical filing system, a drawer may be labeled for folders with titles beginning with a letter in the group "A to G." In a numerical filing system, it could be labeled for folders in the group "00001 to 00030."

      Open the appropriate drawer and look through the labels to determine the best location for the folder. If the folder is labeled "G-00035" then it should be between folders "G-00034"and "G-00036."

      Insert the folder. It should be aligned with the other folders and facing the same direction so the label is visible.
