How to Fill in Aia Documents

The American Institute of Architects (AIA,) is a 120 year-old professional organization that has created a comprehensive suite of contract documents available to its members for use on architectural projects. AIA documents feature agreements for the Architect, the client, and the contractor. They are widely recognized in the industry, and the forms and contracts are based on the consensus of owners, architects, attorneys, engineers and contractors.

      Find out the type of AIA document that are required for the type of project you are doing. AIA contract documents are divided into two different categories: "families" and "series." Architects use the "families" forms based on the type of project or delivery method used. "Series" forms are determined by the purpose for the document.

      Find out the type of project delivery that will be used. This will determine the type of "Family" that will be followed in the AIA documents. A simple residential project is typically a design, bid, build type of project. This is where the architect designs the house, a bid is submitted by a contractor, and then the contractor builds the project. This is the most common type of project. There are 8 different types of project deliveries described in the AIA documents.

      Establish the "Series" of documents required for the project. There are several different categories in the "series" documents. The documents are divided into the 5 phases of services that the Architect provides for their client. The 5 phases of service are: schematic design, design development,construction documents, bidding and negotiations, and construction administration. The AIA documents are divided into 6 alphanumeric categories based on the document use or purpose.

      Fill out the form needed for the specific project. AIA documents are filled in electronically via an AIA proprietary software that allows you to fill in the specific project information into a blank AIA document form. For the AIA A101 Standard Form between the owner and the contractor, fill in the owner's information on the first line and the contractor's information on the second line. The agreed upon construction cost will be filled in on the line that asks for the contract amount. The date of construction will be filled in on the blank line that asks for the contract time. Both the owner and the contractor must sign and have copies with original signatures for their files.
